Booking the hall

Book as early as twelve months in advance. Aim for first or second weekend in August, check with Elinor Bennett about timing of the flower festival. Hours open 1.00pm to 4.00pm. Setting up on Saturday from 9.00am.

Prints

Ask for prints / offer details of procedure by Easter - giving time to send and produce. Maximum of five per member. E-mailed in and printed and mounted centrally, unless a member wishes to do their own. Re-print the POTYs. TV might have a slideshow of images from the year. Consider legacy displays. Cost 2023: £4/£2 A3/A4; 2024 £4 A£, which all were printed at.

Advertising

Poster, based on previous year’s. IMPORTANT - printed and laminated for shop, cafes x2, caravan site, ??. Post on Facebook groups. Banner and sandwich board outside hall from Saturday 9.00am.

Refreshments

8 tables sufficient. 5 teaspoons for coffee pots, 3 bags for tea pots, 4 in larger ones. Milk and oat milk. Soft drinks (squash) / paper cups. Serviettes. Sugar. Order from shop, on sale or return (image below). Two urns available, one large and one smaller. Also coffee pots and coffee flasks. Also individual kettles in both kitchens. Cups and saucers in both kitchens.  Hot water from boiler in small kitchen. Tea towels in both kitchens and hall keeper removes them after use for washing.

Door

£50 float (include notes in case large notes are offered early on). Count adults and children. Cost 2023 & 2024: £4 adult, U18 £2, family £10.

Displays

Banner by road, as well as sandwich board display. Outside entrance poster. Sheet of prices on table (include BACS details). Welcome sheet next to drone pic of Carradale. Labels for POTY. Handouts of titles. Use velcro patches for POTY display / cloth board. Prepared prints into zones.

Don’t forget: pins (clear headed), hammers, pliers, extension leads, tape, unsticky labels, marker pens, mallet for banner.

Volunteers

Ideally … from 9am to 12pm Saturday: three in kitchen, four in hall. From 1.00pm to 4.00pm: three/four in kitchen (?), three/four in hall. After 4.00pm Sunday: three in kitchen, four in hall. Need some to roam the hall. One on door.

Numbers

2023 = 40/2 + 32/2; 2024 = 38/2 + 45/0.

Other

Check door code before Saturday. Ask Cameron for music. Banner needs string to secure fabric. Return food to shop on Monday, but return on Tuesday to give time to calculate a new total.
